Terms & Conditions
NGJ Makeup and Hair is an independent company, offering a service to people seeking professional Hair and Makeup for weddings, special occasions or education. This document sets out the Terms and Conditions for the service provided.
It is the responsibility of the named person on the booking form to understand, agree, and accept responsibility for all booking conditions, including all payments due by specified dates. By proceeding to pay a deposit, you accept that you are entering into a contract and you agree to these terms and conditions.
The Client: The recipient of the service
The Company: NGJ Makeup and Hair Ltd
The Agreement: The agreement between the Client and the Company, confirmed by email, for provision of the service
The Fee: The amount payable by the Client to the Company for the service in the Agreement
The Studio: Nicola Gordon-Jones’ Studio, CF71 7QR
The Team: Hair and Makeup Artists at NGJ Makeup and Hair
Our services are secured upon receipt of a non-refundable £75 booking fee for all bookings inside of the mainland UK. For bookings outside of the mainland UK, a quote will be provided which will include details of the booking fee payment.
Receipt of a booking fee payment confirms the agreement between The Company and the client; and secures the availability for the event on the agreed date and time for the agreed fee. The quote provided for services at the point of booking forms The Agreement between the client and NGJ Makeup and Hair. Any additional services required need to be requested at least 12 weeks prior to the wedding date and 2 weeks prior to any special occasion services so that arrangements can be made, and timings adjusted accordingly. The booking fee is deducted from the final fee due. Enquiries for which a booking fee has not been paid are not confirmed and therefore availability cannot be guaranteed. The Fee is always agreed via email, verbal agreements are not offered as they are not deemed valid.
Full payments are non-refundable if a cancellation is received less than 12 weeks before the service is due to commence. Cancellations of bookings are only deemed valid if received via email to firstname.lastname@example.org
2.1 Travel Expenses
Nicola will travel to your home or venue of your choice for wedding bookings. Trials, occasion hair and / or makeup and lessons with Nicola will be held at The Studio.
All other Team Members will travel to you at your home or venue of your choice for all bookings.
Travel expenses are not included for the first 5 miles of the journey to your designated venue. Following this, a mileage charge of 45 pence per mile for the return journey from your Makeup Artist / Hair Stylist’s location will apply. If required, alternative methods of transport other than motor vehicles, such as rail or flight will be discussed and agreed with the Client during the booking process.
2.2 Accommodation and Subsistence Expenses
Accommodation expenses are incurred for services provided within the mainland UK for bookings where the team member would have to leave their home address before 5am or it is not practical to travel on the day of your wedding (e.g. severe weather conditions have been forecast). In the event this is necessary these costs will be agreed with you (the client) during the booking process, or post booking in the event that it must be agreed due to unforeseen circumstances (e.g. severe weather conditions that could not be predicted at point of booking).
There is also a £50 charged for subsistence per Team member for every 24 hours spent away from home for a booking. We will always endeavour to find the most cost-effective option.
An invoice for the balance of the Fee will be sent from NGJ Makeup and Hair to the client 8 weeks before the date of the Event, unless the Event is in less than 2 weeks’ time in which case it will be sent immediately after the booking has been secured.
Payment can only be accepted via bank transfer.
Bookings are only confirmed once the funds have cleared in the NGJ Makeup and Hair bank account.
Minimum Booking Policy
A minimum booking fee of £300 on the wedding day is required (this does not include the cost of mileage).
Trials are allocated 1.5 hours for hair or makeup and 3 hours for hair and makeup. Any additional time for trial sessions will need to be booked as a repeat trial. If a second makeup and/or hair trial are requested the same fee applies as for the first trial.
For bookings with Nicola, trials will be held in the Studio in the Vale of Glamorgan (CF71) on a Monday to Friday.
For bookings with other Team Members, the trial will take place at your home or venue of your choice (unless more than 60 miles from the stylists home, where an alternative venue will need to be identified by the client). Trials with the team can be held weekdays, evenings and weekends.
We will endeavour to book your trial at a day and time convenient to you, but this is strictly subject to availability. It is advisable to book your trial as early as possible to ensure the best chance of securing a desired date and time.
We reserve the right to cancel a booking following a trial, without a refund of the deposit, in circumstances where there is a mismatch in styles, approach, expectations and/or the client is uncooperative, not open to suggestions or makes any member of our team feel uncomfortable. It is advisable that you familiarize yourself with our bridal gallery (on the NGJ Makeup and Hair website www.ngj-makeup.com) and ensure you are confident our capabilities and style are appropriate before securing a booking. We strive to ensure that all participants are happy with the results of a trial before we leave however, in the unlikely event that you, or any of your party, decide after your trial that you are not satisfied, you are asked to contact us immediately so that we can resolve the matter.
Any changes to the booking must be received by email from the Client to The Company. Changes to your booking by adding another person onto your original booking can only be accepted if time/resources allow for the Event.
If you choose to reduce your booking (either persons on the booking or services sought) your booking will still be charged at the Fee agreed at the point of booking.
Booking changes are only deemed valid if received via email to email@example.com
In the unfortunate event that you have to cancel your booking completely we require a minimum of 3 months notice. After such time the full amount will still be payable by the specified date. Booking fees are non-refundable.
We reserve the right to cancel the booking if the behaviour of the Client is deemed inappropriate and/or if the Client reports a condition that the Company and/or Team member deem as a risk to the Client’s health and well-being.
In these cases any payments that have already been made by the Client for the service are non-refundable.
Cancellations for services booked where travel and/or accommodation expenses have been booked, and are non-refundable by the travel/accommodation provider(s), are non-refundable. Cancellations are only valid if received via email to firstname.lastname@example.org
8. Client Responsibility
When Nicola and/or Team members are at your home or a venue of your choice: It is your responsibility to ensure that our team will be working in a suitable environment with adequate lighting, electricity points, and hand washing facilities. Please ensure every member of your party is aware of timings on the day and that they need to be, and remain, available.
Prior to having makeup applied or hair styled please ensure you and your party are prepared to avoid leaving the chair whilst we are working. Please ensure faces are makeup free and hair is clean, completely dry, and free from product. We advise washing the night before and blow drying. If any of your bridal party have wet hair they will be expected to dry it thoroughly before we start. For their own safety please ensure that children are kept away from our styling tools and products at all times. Styling irons are extremely hot, and hazardous, and we will not be held responsible if a child is injured as a result of the parent or carer not being present.
Allergies and Medical Conditions
It is the responsibility of the individual making a booking with NGJ Makeup & Hair to ensure you have provided us with information relating to skin conditions/medical conditions or allergies at the point of booking. You must inform us if you, or someone you have booked to receive makeup or hair services as part of your booking, suffers from any conditions likely to be exacerbated or triggered by cosmetic or hair products.
NGJ Makeup & Hair will make best endeavours to source confirmation that those individuals receiving makeup or hair services do not suffer from any conditions which would be incompatible with the products we use. However, NGJ Makeup & Hair assumes no liability or responsibility for any reactions/skin complaints/or medical issues arising from the application of cosmetic or hair products applied during or after a trial or wedding or in the course of supplying services for occasions makeup or in an educational capacity.
Attending Nicola’s Studio:
If more than 1 additional person will be attending a booking at the Studio along with the client you will need to inform us at the booking stage to ensure everyone can be comfortably accommodated.
9. Company responsibility
The Company will always endeavour to honour the Agreement to the best of its ability.
There may be circumstances beyond the control of the Company where a Team member is unwell, delayed or otherwise unavailable, sometimes at short notice. In such a case the Company will inform the Client at its earliest convenience and endeavour to make favourable alternative arrangements if possible.
The Company reserves the right to offer the Client compensation in the event that it is not able to honour the Agreement. This is entirely dependent on the circumstances and will be discussed openly and honestly with the Client.
If we experience unforeseen delays which are out of our control refunds will not be given in the event that one or more services are forfeited as a result and no compensation will be offered if we overrun. If you are aware of factors, which could delay or hinder our journey, such as diversions, road closures, speed restrictions, match days, market days, satnav issues etc. please advise us as soon as possible so we can factor this into our route. No refund or compensation will be offered for delays caused by other wedding vendors, guests, or members of the bridal party. If you suspect any member of your bridal party may pose as a challenge in any way, they are encouraged to have a trial to avoid potential delays on the day.
NGJ Makeup and Hair reserves the right to change these Terms and Conditions. In the event that these are changed you will be informed. PLEASE NOTE THAT BY SECURING A BOOKING, CONFIRMING A TRIAL OR PURCHASING A GIFT VOUCHER THE CLIENT ACCEPTS THESE TERMS AND CONDITIONS.
If your wedding has been affected by the Coronavirus outbreak, where you are forced to consider moving your wedding date or the cancellation of your wedding, you must inform NGJ Makeup and Hair as early as possible.
We will honour the following terms for a period where government advice requires the general public to maintain social distancing and prohibits mass gatherings (e.g. weddings). You may consider these additional to the general terms and conditions under which NGJ Makeup & Hair provides it's services.
- If you need to move your wedding date, as a consequence of the Coronavirus outbreak and according government advice, you must inform us as soon as possible. We will make every effort to support your new wedding date where capacity within the NGJ Makeup & Hair team is available and this will be done at no additional charge. We cannot guarantee the same stylists (either makeup or hair) will be available on your newly proposed dates but we will make best effort to ensure we retain the same team for your wedding. Allocation will be done on the basis of first come first served so it is strongly advised you contact us immediately once you know your new wedding dates to avoid disappointment. If we are unable to provide the same stylists you may undertake an additional hair/makeup trial but this will be charged at the rates as detailed on the NGJ Makeup & Hair prices page.
- Where it is not possible to support a newly proposed wedding date for an existing booking we will inform you as quickly as possible. In the event we cannot support your newly proposed wedding date we will provide a refund for your wedding less any deposit you have paid to secure the original wedding date. Please also note, we will not refund any payments for hair/makeup trials that have been received by you as these are considered services rendered.
- If you need to cancel your wedding date altogether, we will issue a full refund less any deposit you have paid. Please note, we will not refund any payments for hair/makeup trials that have been received by you as these are considered services rendered.
- These terms are served at the discretion of NGJ Makeup and Hair. We will only consider bookings to fall under these terms if your wedding date falls into a period where government advice requires strict social distancing and prohibits mass gatherings.
Outside of this criteria your booking will be subject to NGJ Makeup & Hair general terms.
